The Rich Text Editor is used in many places throughout the application. It enables you to add formatted text and control the layout of the information.

The toolbar for the Rich Text editor appears as shown:

Below is an example of what you can do with the Rich Text Editor:

 


Adding data specific to the template type

Data can be defined in emails through the use of macros which are listed at the end of the toolbar. These are specific to the type of template you are designing.

 

Formatting text

The Rich Text Editor supports the following functions for formatting text:

To:do this:
make text bold, italic, underlined, coloured, numbered, bullet pointed, indented and justifieduse the standard functions on the upper and lower tool bars
change the size and fontuse the left hand drop down boxes on the lower tool bar
apply Superscript and Subscript textclick on the "X²" and "X2‚" buttons respectively, on the upper tool bar
cut, copy and paste, undo and re-douse the standard functions on the upper tool bar
insert a tableclick on the table icon on the upper tool bar 
add an image

click on the image button on the top tool bar. This brings up a browser window, where you can browse for an image and click Open to open the image in the window

add a web link

click the world button on the upper tool bar. This opens up a temporary window: type a web address, the display text and whether you want the link to open in a new window, then click OK. This closes the temporary window and adds the web link to the text window.

Click the button to the right of it to remove a link.

It is not advisable to set the link to open in a new window if it is linking to another page in Soutron, or you will end up with multiple windows open: this is really only for links to external pages.

remove formatting

highlight the text that you want to remove formatting from, and click on the eraser button on the top tool bar in the window

click on the icon at the far right of the top tool bar

In addition to entering information directly into the entry box, other options for adding information are:

  • You can copy text from elsewhere and paste it into the entry box
  • You can switch to HTML design mode if you prefer to format the information this way, by clicking on the HTML tab at the bottom of the rich text area

Using images

You can upload images to be used in the email.

Place the cursor where you want the image to appear, then click on the Insert Image icon on the toolbar (shown circled in red in the screen shot).

 

The following screen opens:

 

You can insert images from:

the web

insert the URL and optionally save the file to the server by ticking on the checkbox. Having the file saved on the server means that it is quicker to load than pulling it dynamically from the source website.

Click on the Image Preview to see the image.

your computer or network

tick the radio button to select this option, and the screen will change to this:

Browse the network to navigate your local drives and select the image you want to upload.

 

To see more options, tick the More options checkbox, to see this screen:

 

The following options are available:

Size

The options for Size are:

  • Original Image Size
  • Custom Size - selecting this allows you to define the size and create a thumbnail
Position

The options in the drop-down list are:

  • left-aligned
  • centered
  • right-aligned
Wrap text around imageTick if the text is to be wrapped around the image; leave un-ticked if not
DescriptionEnter a description, which appears when you hover over the image (alt text)

 

Finally, click the Insert button to upload the image and insert it into the email.

You can change the properties of the image afterwards by right-clicking on it and selecting Change Image.

The image can be deleted by clicking on it and pressing the Delete key.

Using tables

Sometimes it is useful to lay the fields out as a table, particularly in export reports. To create a table:

  1. Click on the icon on the top tool bar:

  1. Click Insert Table
  2. On the pop-up screen, select the number of rows and columns, and any other properties

     

  3. When you have finished, click OK
  4. You can add new rows and columns afterwards if needed

 You can then place the field labels and fields into the table cells as described above.

Points to note when using tables

  • when you insert a field or field label, a space is inserted in front of it, which may make some of the entries not line up properly. If this is an issue, the spaces can be deleted, by clicking into them and pressing the Delete key.
  • creating and manipulating tables cannot be done in Internet Explorer - you will need to use Firefox or Chrome instead
  • you can select multiple fields and labels to specify their font, but for bold, italic and underline you need to select them individually

Spell-checking

The Rich Text Editor allows you to spell-check your entry. This is accessed by clicking on the blue tick icon:
 
 
You can correct spelling mistakes but you cannot add to the dictionary as this feature is not enabled.
 
However, you can also correct incorrectly spelled words in the text by right clicking on the word:
 
 
This gives you other spellings to select from, and also the opportunity to add to the dictionary - but this is the browser's dictionary, it is not associated with the Soutron application. It is therefore specific to each machine.

HTML design mode

You can switch to HTML design mode if you prefer to format the information this way, by clicking on the HTML tab at the bottom of the rich text area.

 

Where the Rich Text Editor is used

The Rich Text Editor is used in the following areas of the application:

  • No labels
