File Security categories allow you to control who can view and download documents and images attached to catalogue records.

This definition just contains the name of the File Security Category - defining who can View or Download documents and images in the categories is then defined in Access Permissions.

File Security categories are then assigned to individual documents and images attached to catalogue records.

Note that no File Security categories are defined by default in the application.

To access File Security Categories, select System Management > Security > File Security Categories.

The following screen opens:

Creating a new File Security Category

To create a new File Security Category:

  1. Click Add in the Actions menu
  2. A row of boxes opens up above any previously-defined categories:

  3. Enter the following information:
    1. Name of the category (required)
    2. A description (optional)
  4. Tick the Active box
  5. Click Update to save the category definition

The next step is to assign these categories as required to Access Permissions.

Editing a File Security Category

To edit a File Security Category:

  1. Click the radio box next to the category to be edited
  2. Click Edit in the Actions menu
  3. The same boxes open up a for creating a new category
  4. Make the required changes
  5. Click Update to save the category definition

Note that there is currently no way to delete a File Security Category.
